5 top tips for a productive meeting
Whether it’s a one-on-one meeting or a whole company update, team meetings play a vital role in bringing colleagues together to help develop the success of a business and allows everyone attending a platform to openly communicate, feedback and listen.
If a meeting is run ineffectively it can end up feeling like a waste of valuable time so here are 5 top tips to help make your next meeting a productive one.
1. Change your scenery
Meetings create the perfect opportunity for attendees to take time out of their day and focus on the subject at hand; one of the best ways to spark creativity and get the ideas flowing is to have a change of scenery. Off-site meetings are perfect for allowing your team members time to refocus and move away from the distractions of the office.
With stunning original features and a fascinating history The Elvetham was built to inspire and with over 15 unique and flexible meeting spaces you will be spoilt for choice.
2. Set the objectives
It’s crucial to have a clear agenda established and circulated ahead of the meeting so all the attendees can prepare in advance, understand the purpose of the meeting and the desired outcome. One of the best ways to keep track of the objectives set is to designate a team member to write down the minutes as this will help to refresh people’s memories as they follow up on each task.
3. Keep the conversation moving
Sticking to your agenda is key to ensuring you cover all your points quickly and efficiently and end the meeting having achieved all of your objectives. One of the best ways to keep the conversation moving and your team engaged is to change the presentation style every half an hour or so. Vary your style of presenting by using visual aids such as TV screens and flip charts and get the team involved in the meeting by creating team exercises and Q&A sessions.
4. Mix up your meetings
Team meetings don’t have to have the same rigid format and it’s important to step out of the room for regular refreshment breaks to ensure your team members stay engaged, enthused and rejuvenated.
The Elvetham is helping you mix up your meeting this winter with a variety of delicious extras with our Day Delegate and Residential Delegate rates.
- October – Post-meeting cocktail reception
- November – Hot chocolate and marshmallows
- December – Post-meeting mulled wine and mince pies

5. Take action
As the meeting draws to a close it’s important to summarise the decisions made, assign tasks and confirm any deadlines. Don’t forget to congratulate the team on a successful meet and open the floor to questions so everyone leaves the meeting clear on their tasks and the points discussed.
